The Perelman School of Medicine at the University of Pennsylvania is the oldest and one of the finest medical schools in the United States. Penn is rich in tradition and heritage and at the same time consistently at the forefront of new developments and innovations in medical education and research. Since its founding in 1765 the School has been a strong presence in the community and prides itself on educating the leaders of tomorrow in patient care, biomedical research, and medical education.


The Research Administrative Assistant will work as part of an integrated, dynamic and fast moving team focused on improving outcomes for patients with Castleman disease, a rare and deadly disease. To achieve this goal, the team is conducting an international patient registry / natural history study. To assist with this study, we are recruiting an individual who is interested in gaining exposure to the medical field through interactions with hospital staff and requesting medical records and clinical samples. The main responsibilities of the position are to: (1) complete medical record / sample release requests, (2) submit requests to outside hospitals, (3) follow-up on previously submitted requests, (4) receive, record, process and compile received records and samples, and return or dispose once reviewed by team members, (5) use and maintain a database to track all activities, and (6) collaborate with the Principal Investigator and other study team members. Candidates must possess strong organizational skills and attention to detail; willingness to take initiative; ability to work independently but who knows when to seek help, and to work as part of a fast paced and integrated team; and the ability to juggle multiple demands and priorities. He or she should be dependable and have great people skills. Experience requesting medical records is a plus but not required. Experience performing and managing complicated projects is desired.


A High School diploma and 3 to 5 years experience or an equivalent combination of education and experience required.College coursework or degree preferred. Experience requesting medical records. Experience performing and managing complicated projects. Strong computer skills and experience including data entry, MS Excel, Adobe and Word is required. Knowledge of medical terminology and familiarity with Castleman disease and/or oncology clinical information and research is desirable. High level of attention to detail, organizational skills and commitment to accuracy is required. Interest in performing medical records requests is a must. Strong oral and written communication skills. in addition to time management skills. Strong work ethic. Comfort in an 'iterative environment' in which periodic rework is inevitable. Ability to work as part of a team, as well as independently. Must pass Pennsylvania's Child Protective Services Act (also known as Act 73) background checks, within 30-90 days of employment.
